15 Questions to Ask Wedding Venues Before Booking

Full-service venues typically come with a package of services, including catering, decor, staff, and coordination. While this means less work on your part, it’s still essential to cover all your bases to avoid surprises later.

Here’s a list of important questions to ask wedding venues before booking:

  1. What is the availability?
This might be an obvious one… but, just because it’s obvious, doesn’t mean it shouldn’t be on your list so you don’t forget!
  2. What is the guest capacity for the venue? Does it change based on layout?
Ensure the venue can accommodate your guest list comfortably for both seated meals and a dance floor.
  3. Is there space for both the ceremony and reception on-site?
If you plan to hold both parts of your wedding on-site, confirm that there’s enough room to transition smoothly between events.
  4. Does the venue’s capacity change based on layout (e.g., seated vs. standing)?
Some venues may have different capacities depending on whether it’s a sit-down dinner or cocktail-style reception.
  5. What is the rental fee or package options?
Confirm what the venue’s rental fee is, or what packages are offered, if they provide all-inclusive options.
  6. What’s included in the rental rate or package? Are customizations allowed?
Ask for details on catering, tables, chairs, linens, decor, and any other services provided. For a personal touch, make sure the venue allows flexibility in how the space is styled and what is served.
  7. Is there nearby parking, and what is the capacity?
If parking is limited, you may need to arrange a shuttle or valet service.
  8. Are there in-house vendors or do we need to bring our own?
Some venues require you to use their in-house caterers or specific vendors, so it’s good to know this upfront.
  9. How much staff is provided on the day of the event?
Understanding the staff-to-guest ratio can give you peace of mind about service efficiency.
  10. What are the set-up and tear-down policies? Any other events booked the same day or weekend?
Timing is everything! Make sure you know when you can access the venue and how late you’re allowed to stay for clean-up.
  11. Are there any noise restrictions or event curfews?
Many venues have strict policies on when events need to end or volume levels.
  12. What are the options for bad weather?
Especially for outdoor venues, inquire about contingency plans for rain or extreme temperatures.
  13. Is there on-site accommodation for the couple or guests?
If the venue offers accommodations, ask how many rooms are available and whether a room block can be reserved.
  14. What is the payment schedule and cancellation/rescheduling policy?
Get clarity on deposits, final payments, and the cancellation policy in case plans change.
  15. Can we schedule additional site visits before the event?
It’s always good to have multiple walkthroughs to ensure everything is on track.

Additional Questions to Ask DIY Wedding Venues

DIY venues, like barns, private estates, or park lodges, allow you to have more creative control and often make more affordable wedding venues. However, with that freedom comes more responsibility to coordinate the details. To help ensure your day goes smoothly, here are additional questions to ask wedding venues that are more do-it-yourself blank slates:

important questions to ask your wedding venue
  1. Are there any inclusions with the space?
Many DIY venues don’t include tables, chairs, or linens, so ask what (if anything) is provided.
  2. Can you share example set-ups and seating capacities?
It’s important to visualize how many guests can comfortably fit and what layout options you’ll have. DIY venues can be harder to visualize.
  3. What are the dimensions of the space?
This will help your vendors determine how to arrange furniture, dance floors, and more. You can use tools like SmartDraw and Canva to create mock-ups of your space! See my Instagram reel on mapping out DIY wedding venues for more on this topic!
  4. What electrical hook-ups are available?
Make sure there’s enough power for lights, sound systems, and catering equipment.
  5. Are there ADA-compliant bathrooms on-site?
Accessibility is key for guests with mobility challenges and in some cases, this can be cause for concern with DIY venues. Also, ask if portable restrooms are required.
  6. What are the temperature controls like?
Whether it’s summer or winter, ensure the venue can accommodate appropriate heating or cooling options. Especially with DIY venues, proper temperature controls aren’t always a given.
  7. What is the policy for setup and teardown?
DIY venues often require you to coordinate these logistics, so ask how much time you’ll have and if you can access the venue a day early. In some cases, venues will allow you to add on extra hours for a fee, if needed.
  8. What will the venue set-up (if anything) before arrival?
Some DIY venues are more do-it-yourself than others. It’s important to know for your planning purposes if they provide any support, such as setting up tables and chairs in advance, or if that’s all on you!
  9. Is trash service included, or will we need to arrange for removal?
Determine whether the venue handles trash collection and disposal or if you’ll need to hire an outside service or manage it yourself.
  10. Are there restrictions on alcohol, vendors, noise, or décor?
DIY spaces can be more flexible, but some still have rules about noise levels, alcohol licenses, and vendor insurance.
  11. What is the policy for outdoor setups?
Some venues will not let you move any provided tables/chairs outside of the indoor reception venue. Others may not allow tents. Confirm if there are any restrictions to be mindful of that may affect your plans.
  12. Is liability insurance or event permits required?
Many venues will require event insurance or specific permits, especially for larger gatherings or outdoor events.

Questions for choosing your venue type: DIY vs. Full-Service Venue Decisions

If you’re not sure whether to explore full-service or DIY venues, consider these additional queries to help you weigh your options between the two venue types.

  1. What is my budget for decor, staffing, and rentals?
Full-service venues often include these in their package, while DIY venues require separate rentals and hires.
  2. How much hands-on involvement do I want?
DIY venues require more coordination and planning, so assess how much time and energy you can dedicate.
  3. Do I have a wedding planner, or am I handling logistics myself?
For DIY spaces, a wedding planner may be essential to pull everything together.
  4. What atmosphere am I aiming for?
DIY venues allow for creative freedom, while full-service venues can streamline the process with pre-set options.
